Retain what was actually demonstrated
Record sample code, feed, preparation water, stock concentration, dose basis and separator settings. Keep liquid and solids endpoints together with the observation period. State which operating variation was not assessed so the result cannot silently expand to unrelated conditions.
Identify the person approving technical progression and any restrictions on use. A laboratory success may support a plant trial; a limited plant run may support a bounded first order. Keep those stages distinguishable.
Join the trial code with the commercial code
Ask the supplier to confirm the proposed production identity, relevant technical revision and preparation instructions. Resolve any change before ordering. The commercial family name should not replace the selected sample identifier.
Include packaging, quantity, destination and receipt documents in the handover. Ask which evidence identifies the delivered lot and how a discrepancy is escalated. Availability and timing remain order-specific confirmations rather than consequences of sample approval.
Give operations and purchasing the same reference
Provide the agreed preparation and delivery method to the operating team and the approved material definition to purchasing. List pending items with an owner rather than treating missing information as acceptance. Preserve exceptions separately from the normal requirement.
Use the controlled specification and the document chain for repeated supply. Review meaningful changes in feed or equipment before assuming the old trial remains representative. A clear handover preserves the useful evidence without turning it into a broader performance guarantee.
